For Clients

Do you verify the tutor’s qualification?

Some tutors prefer to keep their qualifications private, so they do not want to reveal them on our website. They usually reveal their qualifications to us in private if they are interested in your tuition assignment. If you are interested in knowing a tutor’s qualifications, just submit a request to us here.

When we are recommending tutors, we will let you know their qualifications and relevant grades. If the tutor has deposited scanned copies of their certificates with us, we will forward them to you via email only at your request.

We always instruct the tutors to bring their qualifications certificates to the first lesson and encourage them to show the certificates to the clients.

How do I request for a tutor?

You just need to fill in and submit an online request form here. Otherwise, you may contact us at 66333221 or 97999901 to submit your request.

Is there a contract with the tutor?

There is no contract binding you. You can terminate the tuition at any point of time. However, if the tutor has already accepted our offer to take up the tuition assignment, he or she must complete at least 4 weeks of lessons unless the client wishes to find a tutor replacement or insists on changing the rate and schedule.

I’m having problems searching tutors on your website. What shall I do?

Just contact us. We will help you shortlist quality tutors based on your requirements.

I like some tutors I have viewed. How do I shortlist them?

When viewing tutors, you can add them in your shortlist and the system will remember. You can review the list by clicking on "My Tutor" displayed at the top right of the page. When you are done with your shortlist, click on "Request for Tutor" and continue to fill in and submit the online request form. Your shortlist will be submitted together with your request. In case of system error, you are advised to write down all the tutors’ id that you shortlisted. Alternatively, you can submit the tutors’ id manually by keying the numbers in the additional request box found in the online request form.

How do I receive billing?

We will send an electronic bill (pdf format) to your email after completion of the first lesson. If you do not have an email address, we will just send payment instructions by SMS. You will only receive our electronic bill or SMS from our official email account info@TopTutors.sg or account manager’s mobile number – 97999901. Our last resort will be snail mail. The electronic bill has the following information on it – TopTutors official header, invoice number, subjects taught, frequency, duration, tuition rate per hour, tutor details and date of the first lesson.

How much do I have to pay TopTutors?

The amount we bill you will be 50% of 4 weeks of tuition fees. This amount will be collect at the end of the 2nd week. This is a commission we levy on the tutor if there is no change in tuition frequency for the first 4 weeks. The tutor is not allowed to collect the payment on our behalf unless directed by us.

How do I pay tuition fees?

You can send us a cheque or make a bank transfer via ATM or internet banking. We are holding accounts in POSB/DBS and UOB. We will include our payee name and our bank account types and numbers in the electronic bill or SMS instructions. Immediately after making a payment, please notify us by phone or email.

If there is a need, we will arrange a specific location to meet you and collect payment by cash.

How do I verify that TopTutors receive my payment?

After making payment, notify us by sending us an SMS or giving us a call. Once we check that payment is received from you, we will send a verification SMS to your mobile number; follow by an electronic receipt to your email. If your payment is made using cash deposit transfer, the receipt is required for verification.

Please note that interbank transfer may take 2 to 3 working days to complete, so avoid making a transfer to a different bank.

I just made a payment to a wrong account number by mistake. What shall I do?

You will have to contact your bank immediately for assistance. You will probably have to take certain steps to recover the money from the unintended recipient. TopTutors shall not be liable for your loss if we provided the correct account information in time. If we provided a wrong account number to you and did not correct it before you make a payment to that account, we will take fair responsibility.

Account Matters
Registration requirements

You need to be minimum 18 years old, holding at least an O level or Diploma cert, and must be a Singaporean, permanent resident or a foreigner holding a student pass or work permit in Singapore.

Registration fee

It is free to register for a TopTutors Account.

How do I close my account?

You can close your TopTutors account anytime by sending an email to info@TopTutors.sg indicating your name, NRIC number, birth date and mobile number. We will still keep your records should you need to re-activate your account in the future.

Why was my account closed?

It may be due to one or more of the following reasons:

1. You did not enter any qualification
2. The phone number you registered with us is invalid.
3. You did not turn up for a first lesson
4. You were not contactable for a long period
5. Your last login was more than one year ago
6. We received a serious complaint from the customer
7. Any other reason; please contact us to find out

If you find that your account has been closed and wish to reactivate it again, please contact us and provide us your email. We will review your case before enabling your account.

Repeated Registration

It is very easy for us to identify repeated registration because we evaluate new accounts that are registered everyday. Some tutors’ accounts have been closed due to cheating or poor conduct. Any attempt to sign up another tutor account with a different email will be detected by us and we will close it immediately.

Do not include contact details in your profile that is visible openly

We do frequent scans through our database for contact details (mobile number, address, email, website …) that are included in the tutor profile which are viewable by the public.

We will delete them on your behalf and notify you. If you include your contact details again, we will close your account.

I forgot my password or email. How do I retrieve them?

Click on forgot password on the top right of the webpage and enter your email that is registered with us. Check your email and click the link in the email. You will be redirected to a page to enter your new password.

If you forgot the email that is registered with us, send an email to info@TopTutors.sg indicating your name, NRIC number, birth date and mobile number. We will retrieve the registered email if sufficient information is provided.

I am unable to login.

The following reasons explain why your login was denied: You did not enter an email that you registered with us. If you forgot your email, read this. You entered an incorrect password. If you forgot your password, read this. Your account has been closed. Read this to understand why your account was closed.

Qualifications, Certificates & Photograph
Is it necessary to upload my photograph?

No, it is not necessary to upload your photograph. You are strongly encouraged to upload a formally taken photograph that represents yourself in a smart looking and friendly manner. This increases your chance of getting shortlisted by clients.

Photograph requirements

You shall crop your photograph close to the standard of a passport size photo before uploading. You can upload your photograph in gif or jpg format. It shall not be a group photo nor candidly taken. We will take necessary actions to ensure that your photograph meet our standard.

What do I have to do to receive the ‘certificates verified’ icon?

State your qualifications and grades clearly and send all scanned copies of your qualifications transcripts that reflect your grades to info@TopTutors.sg. We will verify them and award you the ‘certificates verified’ icon.

How do I get my NRIC verified?

Just scan both sides of your NRIC and send the copies to info@TopTutors.sg. We will tally your identity number, name, date of birth and address with your tutor account before awarding you a ‘NRIC verified’ icon. If your account info does no tally, we will correct them as per your NRIC without notifying you.

Feedback System
What is the purpose of feedback system?

The main objective is to keep accurate records of both tutors’ and customers’ experience with their assignments, so that we can understand the tutors better before recommending them to future assignments.

As a result of the flexibility of tutor employment process, many clients have encountered tutors who dropped out from tuition assignment suddenly. This is very frustrating, especially when it is near exam period. We understand that most tutors did not want that to happen either, especially for part time tutors who have other commitments. Having the freedom to abandon the assignment after just a short month of commitment, many tutors tend to have second thoughts after accepting the assignment. This is lose-lose-lose situation for all 3 parties – customer, tutor and agency. We believe that this feedback system will help us identify tutors who often fall into this situation.

How are feedbacks gathered?

Feedbacks shall be gathered from the student, and also the parent if the parent is the main point of contact. We will do a feedback session over the phone once every 2 months until the student’s next final exam. If negative feedbacks are gathered, we will give the tutor a chance to dispute with us. All feedbacks gathered and disputed are recorded in your tutor profile record box, which is only viewable and editable by TopTutors’ managers.

Are there higher expectations from full time tutors?

Yes, there are. We expect more from full time tutors in terms of their commitment to assignment. Full time tutors are favoured by more clients due to their commitment level. If you sign up as a full time tutor, you tend to have more chances being offer tuition assignments. If you are a full time tutor and we receive complaints about you on case like frequent lesson postponement, you are likely to be penalised greatly.

Can I view the records of the feedbacks?

No, you can’t, not even our clients can view the records. We are serious in this business and we assure you that feedbacks are fairly taken, disputed and recorded.

Subjects, Areas and Schedule
I wish to teach subjects other than the ones available.

Send us an email to request a new slot for that subject. We will decide whether to open a slot for that subject.

Which many areas and districts are there? How do I identify a district for an address?

An area covers a part of Singapore which comprises a number of districts. Each district can be identified by the first 2 digits of a postal code, example, Pasir Ris – 51XXXX. A district can cover more than one town, example, Braddell, Toa Payoh – 31XXXX.

Requests and Rates
How do I maximise my access to tuition requests?

We broadcast daily tuition requests by SMS and emails. You need to maintain an active tutor account and a valid mobile number to receive SMS requests from us. As for requests by emails, you just need to sign up the tutor account with an email account that you check access daily. For email accounts under hotmail and yahoo mail, please check that you do not filter our emails as junk mails.

How do I stop receiving SMS requests?

Just set your account to inactive. We will cut down sending SMS requests to you. We still reserve the rights to send you any form of requests at any time.

What details are included in an SMS or email request?

Details such as level(s), subject(s), area, lesson frequency and duration (1x2hr/wk), schedule (mon or wed 730pm to 930pm), tuition rate per hour (if customer specified), signed off with ‘TopTutors’.

How do I respond to requests?

Before you respond, think twice whether you are able to commit to the assignment with the given requirements (location, subjects and schedule). If you are able to take up the tuition assignment, respond immediately with your name as of NRIC, quote of tuition rate, and your available schedule. Hesitant response may lower the chance in getting the assignment.

Ignore the requests if you are unable to take up the assignment.

Why do I keep receiving requests that do not meet my criteria?

Login to your tutor account and uncheck the subjects and areas you no longer want to teach.

After responding to requests, what shall I do?

You shall wait while we present your quotes and profile to the client. If the client shows interest in your tutor profile, we will contact you.

No one contact me after responding to requests, why?

If you do not receive any response from us after responding to requests, it is likely that another tutor has gotten it instead. As we send hundreds of SMS out each time, it would be difficult for us to inform everyone the outcome.

Is there any tip on increasing my chance of getting the assignment?

To increase your chances, it can be as simple as providing a competitive quote and flexible schedule, and having an impressive and accurate tutor profile. For the long run, you need to stay committed to the tuition assignments and maintain a good relationship with the clients. If you have doubts on your commitment, do not take up the assignment. Dropping out from assignments abruptly may lower your chance of getting future assignments. If we receive too many negative feedbacks from clients, without proper, convincing explanations from you, we are less likely to recommend you to future assignments.

Assignment and First Lesson
How do I prepare for the first lesson?

The following checklist helps you prepare for the first lesson:

1. Record the full address of the customer.
2. Find out how to get to the place. If you need help, contact your coordinator. Plan early.
3. Store the customer's contact number and the coordinator's contact number in your mobile phone. In case you are lost on that day, you will be able to contact us.
4. One or two days before the lesson, give the customer a call and re-confirm subject(s) and lesson time.
5. Bring your relevant certificates (original) and your NRIC. Show them to clients (parents/ students) without request.
6. Dress appropriately. Be professional.
7. Find out what areas the student is weak in.
8. Prepare what you would like to teach on that lesson itself.

Account may be terminated if first lesson is not attended.

It is very important for you to attend the first lesson. Your account will be closed if you do not attend the first lesson and ignore our calls.

Exceptions are made on a case by case basis. If you fall sick, an official medical cert is required.

How long do I have to commit to the tuition assignment?

Upon acceptance to take up the tuition assignment, you must commit to the tuition assignment for 4 full weeks of lessons without postponing or cancelling any lesson. You are free to terminate the assignment after the 4 weeks commitment, but we expect you to commit at least until the student’s next major exam (e.g. mid year) has ended.

Commission, Payment and Disputes
What are the commission charges?

Commission is levied on the tutor based on 50% of total tuition fees for 4 weeks of completed lessons. We will collect the tuition fees from the client on your behalf at the end of the 2nd week. You shall not collect any fees from the client for the first 2 weeks. We will still charge the same amount of commission even if there is a lesson postponed.

However, if the client terminates the tuition assignment before completing 4 weeks of lessons, the commission will be calculated as 50% of the total tuition fees for the completed lessons at the point of termination.

Cheating cases

We have a strict policy on cheating cases. If found out, the tutor account will be closed permanently and a police report may be made.

Client complaints to us about your service

A client may dispute that you have rendered poor service and refuse to pay. However, if you are able to provide strong evidence, we will still bill the client.

If the client still refuses to pay, TopTutors will decide whether to take legal action through the Small Claims Tribunals.

General

Is my data safe with TopTutors?

The privacy of your data is handled the way it is described in our privacy policy. In summary, we respect your privacy and will not sell your information. We will only reveal your private information when required by the law.

TopTutors.sg is under TopTutors Tuition Agency LLP, which is registered in ACRA, Singapore. Our unique entity number (UEN) is T07LL1095C.
